Administrative Assistant

General description of the position- This person will need to perform financial tasks, answer and maintain correspondence within the parish and in the community, and use a computer independently. This position is for approximately 15 hours each week.
Reports: to Priest-in-Charge
FLSA Classification: Non-Exempt
Rate of pay: $18/hr
Correspondence and Church tasks include:
• Serving as a main point of contact for collecting and sorting mail, answering the phone; and receiving, forwarding and responding to email.
• Will create and print weekly service bulletin
• Coordinate Lay and Usher Schedules for Sunday Services
• Keep St Thomas Website and FB Page current
• Schedule the Guild Hall and Conference Room use
• Maintain digital and physical parish records and keep them up to date
• Answer the phone and reply to voice mail. Maintain phone records and forward messages to the Priest or designated person
• Schedule the monthly Vestry meeting, and collate monthly Vestry folders
• Schedule Supply Priests and Musicians as needed
• Maintain and ensure that the parish roster and directory are up to date; and the monthly calendar and newsletter are emailed out each month
• Communicate with Junior Warden to coordinate and schedule service providers for maintenance and repair needs in the building when necessary
• parish duties as assigned
Financial tasks include working collaboratively with Treasurer and Priest to:
• Ensure all invoices and bills are organized and submitted to the Treasurer for payment and/or reimbursement in a timely manner
• Assist with completing and filing of the annual parochial report
• Participate in the annual audit
• Count and record the Weekly Collection and keep track of Sunday attendance
• Monitor the inventory of office materials, kitchen and cleaning supplies, and purchase as needed.
Qualifications needed:
• Proficiency in Microsoft Office (Publisher, Word, Outlook, Power Point and Excel) and Google Workspace suite
• Show strong Organizational Skills
• Excellent Time Management Skills including the ability to prioritize work and show initiative to complete church related tasks independently.
• Ability to operate standard office equipment (computer, copier, scanner)
• Willingness to receive and participate in training in computer software, technology, office equipment.
• Will submit to a background check
• Will participate in Anit-Racism and Safe Church Training
Physical Requirements include
• Ability to use stairs safely
• Lift and carry packages and supplies up to 25 pounds
• Communicate clearly
