Under the administrative direction of the senior pastor, to perform clerical work involved in the conduct of the Church Office details; and to do other work as required. This is a reimbursed, non-exempt position that reports to the senior pastor. 15 hours / week. Pay dependent upon experience.
EXPECTATIONS:
It is expected that the office manager will exhibit Christian character as an employee of the church. The office manager will represent the church appropriately at all times by maintaining a high level of professionalism. The office manager will serve the church community, staff, Session, and pastor by providing accurate information, maintaining the heart of a servant, avoiding gossip and maintaining confidentiality.
REGULAR TASKS AND RESPONSIBILITIES:
I. Pastor:
Works closely with pastor, clerical support, and assists with administrative details
Assists with the coordination of building maintenance tasks working with vendors, acquiring quotes, scheduling work as needed
Reports maintenance issues as communicated by janitor or others
Assists with coordination of rental requests, leases, and event coordination
Other tasks as assigned
II. Church:
Supports Session, mission groups
Types, duplicates and prepares Sunday bulletins cards
Types, updates, Church Directory, keeps mailing list;
Keeps Sunday Worship attendance records.
Maintains Master Church Calendar and schedules events and reserves facilities for such usage
Assists in coordination with all special events and/or services
Runs church errands when needed
III. Office and Facilities
Maintains room layouts
Maintains the key box and keeps track of who have keys to the sanctuary and Christian education buildings
Sees that the office machines are in good repair; orders and schedules regular maintenance and repairs
Keeps inventory of office, communion and other supplies, makes orders
Answers phones; makes telephone calls; provides customer service
Receives members and guests into building and Church Office; occasionally greets and directs transients and underprivileged who need assistance, accepts most deliveries
Separates mail and disburses it to staff and residents
Distributes church email and sends all church e-mail messages
Manages certification and compliance records
IV. Miscellaneous:
Attends scheduled staff meetings
Supports staff members any way possible
Organizes and manages Sunday morning volunteer team schedule
Assists with management of the church website
Assists with retreat and event planning
Manages food donations and distributing to those in need
Manage plot rental procedures for Center Street Community Garden
MINIMUM REQUIREMENTS:
A background of education equivalent to graduation from high school; two years of responsible secretarial experience desired; ability to type at a speed of not fewer than 50 words per minute; good computer skills as well as with other office machines; ability to understand and carry out oral and written instructions; ability to size up and get along well with others and show good judgment; demonstrate initiative, integrity, and reliability; ability to work with little to no direct supervision; maintain a neat personal appearance; Christian background preferred. Bi-lingual Spanish is preferred but not required.
