Job Opportunity: Parish Administrator
Location: St. Peter’s Episcopal Church, New Kent, VA
Schedule: Monday – Friday | 9:00 AM – 1:00 PM (20 hours/week)
Reports to: The Rector (Senior Pastor)
About the Role
St. Peter’s Episcopal Church is seeking a professional, welcoming, and highly organized Parish Administrator to serve at the heart of our church operations. This vital role extends the pastor’s ministry by managing the day-to-day functions of the parish office, coordinating facilities maintenance, and empowering our parishioners to lead effective ministries.
As the first point of contact for our community, you will provide a positive and pastoral presence while ensuring the administrative and liturgical needs of the church are met with excellence and confidentiality.
Key Responsibilities
• Office Management: Act as the "voice and face of the parish," managing phone calls, emails (24-hour response standard), mail processing, and daily correspondence. Orders and maintains all necessary office supplies and software systems.
• Calendar Support: Works closely with the Rector to coordinate the parish’s central electronic events and appointments calendar.
• Communications & Liturgy: Collaborate with the Rector to produce and publish the Weekly Email and the Sunday Worship Bulletin, as well as monthly service rota.
• Records & Data: Maintain the parish database, directory, and official sacramental records (Baptisms, Confirmations, Marriages, and Burials), as well as the general parish records.
• Financial Administration: In coordination with the Treasurer, helps coordinate and process payments and account coding for invoices and deposits, while maintaining strict confidentiality regarding parish finances.
• Facilities Coordination: Work with the Junior Warden and Rector to schedule and oversee repairs and maintenance with outside vendors and contractors.
• Ministry Support: Serve as a central hub of information for staff and lay volunteers, providing the administrative tools necessary for successful parish programs.
• Reporting: Assist in the preparation of the Annual Report and the Parochial Report.
Qualifications
• Professionalism: A warm, welcoming demeanor with the ability to work collaboratively with staff, vestry, and volunteers.
• Communication: Exceptional written and verbal communication skills.
• Technical Skills: Proficiency in office software (MS Office/Google Workspace), sign-up genius, and experience with or ability to learn database management or church management software (Realm).
• Discretion: An unwavering commitment to confidentiality regarding sensitive parish and financial information.
• Organization: Strong attention to detail and the ability to manage multiple deadlines (such as weekly bulletin printing).
