Position of Administrative Assistant For The Lower Musquodoboit Churches
Lower Musquodoboit Pastoral Charge of the United Church of Canada is seeking an organized,
motivated and outgoing individual to work as Pastoral Charge Administrative Assistant.
Job purpose
Administrative Assistant of the Lower Musquodoboit Pastoral Charge is to provide
administrative assistance to the Charge (group of churches that function together), Churches and
Minister.
Duties and responsibilities
· Maintaining and updating Church records (e.g. baptismal, confirmations, membership,
marriage, death rolls and associated paperwork).
· Creating and Printing Bulletins including: receiving the order of service, hymns and
announcements, and preparing into bulletin format, transferring the bulletin to PowerPoint for
use in services. May be required to support technology during worship services.
· Preparing Annual reports for the Charge including compiling reports and arranging for
printing and distribution of annual reports.
· Managing church phone, email and digital messages to the Churches, Charge and
Minister. This also includes responding to phone and email messages in a quick and courteous
manner,
· Managing correspondence to and from Charges, Churches and Minister including
sorting and distributing mail, replying to correspondence received by the Charge such as request
for transfers, charities, information from record books, and forms sent from National United
Church offices.
· Filing reports, information, brochures and resources and regular backup for all
electronic records to be stored safely. Taking minutes at official board meetings.
Expectations
The Pastoral Charge Administrative Assistant will be proficient in the use of standard of office
tools: copy machine, computer, etc. She/he will demonstrate organizational skills, as well as an
ability to relate well and be an excellent listener, with a diversity of persons: pastoral staff,
office colleagues, church leaders and members, and visitors. She/he will be a cooperative team
member, in relation with others who share the work environment and responsibilities.
Qualifications
· Grade 12 and Certificate or Diploma in Business Administration or Office
Administration from a recognized Post-Secondary Institution plus three years of related
experience. An equivalent combination of education and experience will be considered.
· Proficient in database administration and maintenance.
· Proficient in the use of computers, including internet research and related software (i.e.:
Microsoft Office Suite, Email, etc.).
Working conditions
The Pastoral Charge Administrative Assistant will be required to work from the church office
located at St Andrews United Church, Elderbank.
There is flexibility to also work from home.
The position is for approximately up to 40 hours per month.
Remuneration is based on current minimum wage
