OVERVIEW
The Administrative Assistant assists the Pastor and Office Manager in overseeing the administrative support area within the parish (staff and/or volunteers) and makes sure that polices are in place to ensure that the administrative functions of the parish run smoothly. The Administrative Assistant administers the day-to-day operations of the office and assists ministries with room bookings.

RESPONSIBlLITIES
• Answering telephone, screening and directing calls to the appropriate person in the office.
• Establishes, maintains and updates office record-keeping systems.
• Provides secretarial duties for the Pastor, as requested, including letters, memos and reports, receiving and placing telephone calls.
• Make all changes to Parish Friendly (PFS) as required
• Prepare and publish weekly bulletin.
• Establishes and maintains effective communication and co-operation with other Parish staff, with Parish Pastor and Parish Council.
• Keeps the Pastor and Office Manager informed of office activities and of any significant issues that may be cause for concern or escalate into larger issues/problems.
• Manages parish calendars and events including Masses, meetings, communicates with families/relatives/general public regarding appropriate procedures for each service.
• Maintains the bulletin boards, Prayer Board TV and Narthex TV
• Maintains key storage/distribution and tracking of distribution.
• Opens the office in the morning and securely closes the office in the evening.
• Schedules and contacts computer personnel and office equipment repair personnel when required.
• Helps with Parish Communication, as requested by the Pastor.
• Schedules and distributes Mass Cards for parishioners.
• Ensures the pew cleaners have envelopes including special collection envelopes.
• Other related duties assigned to assist the parish in its ministry.

QUALIFICATIONS
• Ability and willingness to enthusiastically support the mission of the Church
• Post-secondary education (i.e. certificate, diploma or degree) in a related field of study -
or Office Administration, Administrative Assistant, Business Administration or similar work experience
• Proficient computer skills & applicable technology and software (i.e. MS Office Products)

• Excellent interpersonal communication skills, including: active listening, problem solving, and capacity to demonstrate good judgment, courtesy, confidentiality and tact with others
• Attention to detail with a high level of accuracy
• Effective organization, time and stress management skills
• Ability to maintain confidentiality
• Excellent written and verbal communication and presentation skills, including the ability to articulate in a compelling fashion

HOURS OF WORK
Monday to Friday; 9:00 a.m. - 4:30 p.m. (includes 30 minute unpaid lunch break)

SAFE ENVIRONMENT
In support of the Safe Environment Program, this position is required to obtain or complete the following:
• Police Information Check (PIC)
• Praesidium Sexual Abuse Prevention online training modules
• Sign the Agreement to Model Code of Conduct

Bishop Jon Hansen, C.Ss.R. (of the Mackenzie-Fort Smith Diocese), will be visiting our parish for the sacrament of Confirmation at 2:30pm on Sunday, May 24 (Pentecost) & 2:30pm on Sunday, May 31 (Most Holy Trinity).
These are additional Sunday Masses where roughly 250 candidates will be receiving the sacrament of Confirmation.

Last weekend our Deacons took over the Mass Passport stamping duties. We are blessed to have Deacon John and Deacon Joseph serve our Parish. They are always in our prayers.

Last week the children were asked to pray for our Parish volunteers and all Parishioners.

Wear red to Mass! This weekend the Easter season ends as we celebrate Pentecost. Red is the traditional Liturgical colour of Pentecost as it symbolizes the tongues of fire which rested on the Apostles as they received the Holy Spirit! For us it symbolizes the joy and fire we fell having received the Holy Spirit at our Baptism and sealed at our Confirmation.

If you are married, you should pray together with your wife confident that the Lord who has strengthened you by the sacrament of matrimony will help you to discern whether He is calling you to embrace a second sacramental call.

Together let us place our petition for the fruitfulness of the permanent diaconate in the Diocese of Calgary in the hands of the Virgin Mary, the Diocesan Patroness, asking her to watch over candidates for this ministry who will proclaim the Word faithfully, serve the liturgy reverently and care for the needs of the community joyfully.

The SATG conference of SSVP serves people in our neighbourhood experiencing poverty. We serve by providing emergency food hampers for those in need throughout the year.

We collect food through food drives and donations. We are blessed to have strong support of financial donations from our parishioners as well. We have about 80 members in our conference.

We serve in our parish communities of McKenzie Lake, McKenzie Towne, Copperfield, New Brighton, Douglasdale, Douglas Glen, Cranston, Auburn Bay, Mahogany, Seton, and in our adopted communities of Penbrooke, and Applewood.

Our community of schools strongly supports us, operating several food drives throughout the year, and with food, gifts, and volunteers for our Christmas hamper program. Our schools include St. Albert the Great, St. John Henry Newman, Monsignor Smith, Christ the King, Prince of Peace, Divine Mercy, St. Isabella, Our Lady of the Rosary, St. Marguerite, St. Gianna, Bishop O’Byrne and All Saints.

Pastoral care is a ministry of compassionate healing and presence. It is a fundamental aspect of ministry in the Catholic Tradition available to those parishioners who are sick, elderly, dying, home-bound and bereaved.

Our parish has a number of pastoral care ministers that are available to bring Holy Communion to parishioners who are unable to attend Mass, to make home visits, as well we have ministers that regularly attend the South Calgary Health Campus.
